Your customer data is a leaking bucket: a field guide to fixing the flow

Every handoff between tools loses a little more of the customer. Here's how to seal the leaks.

Your customer data is probably leaking right now. A newsletter signup that never reaches the CRM. A purchase that never updates the loyalty profile. A support ticket that the sales team never sees. Each leak is small, but together they create a customer view that is more fiction than fact.

The leaks happen because every tool optimizes for its own job. The form tool captures emails. The eCommerce platform captures orders. The help desk captures complaints. None of them are paid to share. So they do not. The result is a customer who feels like a stranger to half your company.

The first step is to map the data flow. Draw the journey from first touch to repeat purchase. Identify every system that touches the customer. Then ask: where does the same customer exist in different formats? Where does data get overwritten or lost? Where does a team make a decision with incomplete information?

The second step is to choose a single source of truth. For most SMEs, the CRM is the right answer. It does not need to store everything, but it should be the place every other system reports to and reads from. That requires integrations, not migrations. Your tools can keep doing what they do well; they just need to talk.

Finally, add governance. Who can update a profile? What fields are required? How long is data kept? Consent, especially under Singapore PDPA, must be part of this conversation. A clean CRM is useless if it is not compliant.

AI-powered segmentation, churn scoring, and personalization all depend on a complete, accurate customer profile. If your CRM is a leaking bucket, the AI will recommend the wrong products to the wrong people at the wrong time. Fix the bucket first, then add intelligence.
